 Referral Process via the Optimal Care Meeting (OCM)

All referrals require approval via the Optimal Care Meeting at Sennelager or SHAPE Medical Centre prior to an appointment being arranged at the clinic or hospital. At the OCM, your case is anonymously discussed and the referral is either approved, or an alternative referral or advice is given.  The reason for this is to ensure you are being sent to the right speciality, that your care pathway is in line with UK standards, and that another GP does not already have the required skills to manage your condition.

If your secondary healthcare consultant recommends surgery or other significant treatment which may have an impact on your operational capability, Defence Consultant Advisor (DCA) opinion will be sought. DCAs are military clinical specialists responsible for providing occupational health input who also advise if the proposed treatment is in line with UK best practice.

Should the DCA decide that your long term career prospects may be best served by a different approach, a further referral to a UK based military consultant may be recommended and the hospital clinician will be advised that the proposed treatment will not go ahead at that time.  The Clinical Referrals Manager (CRM) will advise your GP and will also contact you to provide an update.

If the DCA indicates that the proposed treatment should go ahead, the LLP SHC administration team will contact you to confirm an appointment to continue your hospital treatment.

Please be aware all recommendations for hospital care for serving personnel are reviewed in line with the MOD Occupational Health Policy.

For civillians your condition maybe discussed with an NHS expert panel consultant to ensure your treatment plan is in line with NHS policy.

Once the referral is approved by the OCM, a Patient Support Officer will contact you to arrange an appointment.

What to bring to your appointment

Here’s a list of things we recommend you bring to your appointment:

  • any paperwork, test results or x-rays
  • details of all the medication you are taking – the names of the medication, what you’re taking it for and how often
  • a small amount of money for drinks or snacks
  • a list of any questions you wish to ask the Doctor
  • if you are driving, you may need money for parking.

At Your Appointment

On arrival

When you arrive please follow the directions to the clinic / department that you were given. Please book in with the clinic reception staff who will explain to you what to do next. Staff will do their best to see you on time although sometimes delays are unavoidable.

Who will look after me?

An English-speaking clinician will normally see you. If there are any linguistic difficulties please contact the Patient Support Service.

Consenting to treatment

It is important you fully understand your condition and the treatment options available to you. Before you receive any treatment or tests, the doctor will explain what he or she is recommending and will answer any questions you might have. No treatment is carried out without your agreement.

After Your Appointment

Documentation

Important: Any documentation such as reports, invoices need to be forwarded prior to any follow-up care, as some treatments require additional approval. Please see the section titled OCM for more details.

Prescriptions

Outpatient clinic prescriptions have to be taken to a local dispensary (Apotheke). For more information see our Pharmacy page

Follow up appointments

If you need follow-up care, an appointment please contact the Patient Support Service irrespective of whether you have been provided a further date for an appointment date or not.
